Regulation 6250.1R
Management Support

District-owned equipment and materials shall be used for Tacoma School District purposes only.
Personal use of district property is prohibited unless specially referenced in the policies and
regulations.

Temporary Use of District Equipment and Materials by Employees, Students or Other
Authorized Individuals

A. District equipment or material may be removed from district property for
temporary use when necessary to accomplish tasks arising from school or job
responsibilities.

B. The building principal and/or appropriate administrator is required to approve the
use or removal of equipment or materials from district premises. In all buildings
and departments, the principal and/or administrator shall “check out” and “check
in” equipment or materials. When checking out equipment or materials, the
individual shall complete and sign the district “EQUIPMENT/MATERIALS
CHECK-OUT” form (blank copies of the form can be obtained from the
Computer Services Department). The principal and/or administrator shall approve
and sign the “EQUIPMENT/MATERIALS CHECK-OUT” form before the
equipment or materials leave district property. The signed and approved form
shall be kept on file at the location where the equipment or materials were
originally checked out. It is the responsibility of the principal and/or administrator
to ensure the return of district property. If the individual leaves the currently
assigned district building (i.e., transfers to another school/location, leave of
absence, termination, etc.), all checked-out equipment and materials must be
returned. The principal and/or administrator shall inspect the equipment or
materials to ensure they are returned in good working condition. After inspection,
the principal and/or administrator shall sign off the “checked in” portion of the
“EQUIPMENT/MATERIALS CHECK-OUT” form, thereby indicating the safe
return of the checked out equipment or materials. After check-in and sign-off, the
form shall be kept on file for three years at the location where the equipment and
materials were originally checked out.

C. Individuals who are granted custody of materials, textbooks or other equipment
shall be held accountable and shall make restitution to the district for loss or
damage.

D. Individuals who are granted custody of district equipment for use related to
district purposes shall report loss or damage to such equipment through the
appropriate administrator on a “District Property Loss/Damage Claim” form. The
administrator shall ensure that appropriate district security and police reports are
completed.
