Double Check:
- Spelling —Run Spell Check at the end
- Have you answered all questions?
- Do you have all attachments?
- Do you have a table of contents (if needed) and is everything in order with the
- correct page numbers?
- Are your font, spacing and margins correct?
- Is the document attractive, well organized and easy to read and understand?
- Is your data correct?
- Do your budget numbers match the plan and do they add up correctly?
- Does the Finance Office agree the budget works?
- Do you have all your partners and supervisors on board?
- Is your “story” compelling?
Photocopying and binding. Often grant programs require multiple copies of proposals and some have special binding instructions. You will be responsible for this. Check the guidelines carefully. Send only one original grant application to the grants Office for processing. Once signed, it will be returned to you for photocopying of the signature pages to be included with the "“other” copies. Reminder: include adequate time in your writing timeline for the copying and delivery process.
Only then send the completed grant package to the Grants Office. Provide the following
materials:
- Grant Application Approval Request, signed by the appropriate Cabinet-level administrator
- Action Memo to the Board, signed by the appropriate Cabinet-level administrator (if needed)
- Project Summary form (if needed)
- Grant Application Budget or Budget Distribution form (if needed)
- Complete, error-free, final draft of proposal, including all attachments
Keep a copy of this packet for your files. It will also be up to you to distribute copies of the proposal to your team.
Mailing The Hard Copy Application. The earlier you “send it off” the better your chances of getting it in on time.
Mailing or hand-delivering the proposal. We will verify with you how the final submission is to happen and who is to do it.
Proposals to national grant makers or federal agencies should be postmarked at the post office and sent by certified mail with a return receipt.
Alternatives are Federal Express or an equivalent to meet a next-day deadline.
Proposals to local and state funders may be hand-carried on the due date. If it is necessary to hand-deliver a proposal, you will be responsible for this. Make sure you have a complete address, map, and allow time for heavy traffic.
Electronic Submission. The Grants Office needs to be involved in the submission of federal and OSPI electronic grant applications. Talk to us to set the time line for the submission process to assure it happens in a timely manner. Electronic submission should be early—well before the due date to assure download is not blocked by too many people trying to access the web site at one time.
